Description
1barn is barn management software for boarding and lesson barns. Connect your 1barn account and ask ChatGPT what's due, who owns a horse, which stalls are open, or where the signed boarding contract for a horse is. Staff can log care, add health records, mark a horse injured, schedule service days, send documents for signature, set up event types with deposits, check people in, see bookings and open times, manage lesson terms and let the solvers propose the timetable, run the staff schedule, and message the barn. Boarders see their own horses. Every action runs under your 1barn login and the role your barn gave you.

What this horse is on: feed, hay, supplements, medication, turnout, blanketing. `include_past` adds what it used to be on and when that changed — which is the question a vet asks after a colic. Anyone who can see the horse can read this. Each line says what ("2 scoops Senior"), when, from and to which day, and who set it, with any `detail` in Markdown; its `id` is what `replaces_id` and barn_end_care_instruction take.
barn_horse_care
One horse's history, newest first (kind: vaccination|deworming| dental|farrier|vet_visit|medication|injury|lameness|therapy| joint_injection|test|measurement|other): what was done, when, the product and lot, who did it and when it's next due. `notes` are Markdown; staff see them all with `notes_shared`, an owner sees only the notes staff shared with them.
barn_horse_records
How a horse's days between two dates split by lesson status — how much it was actually available to the program: total_days, days by status, in_program_share, and health_days by health status. Also whether it is offered for lessons now: available_now, with the `reason` it isn't ("injured since Oct 9", "resting") and a `note` for a rehabbing horse that still is. An injured or sick horse is out for the whole week being scheduled. Staff only.
lessons_horse_availability
Every stretch of a horse's lesson status, newest first: status, effective_from, effective_to, note. Staff only.
lessons_horse_history
Paperwork with an expiry date — Coggins, registration, passport, insurance, memberships — and how close each is to lapsing. The number on each paper (`reference`) is shown to staff. `notes` are Markdown; an owner sees only the notes staff shared with them.
barn_horse_renewals
File what a family asked for, for a term: the student, discipline, individual|group, length, lessons per week, preferred instructors (first choice first), and `options` — the windows they can make, ranked: [{weekday: 0=Monday…6, start_time: "HH:MM", end_time: "HH:MM"}]. Returns the request as lessons_requests shows it. Staff only; families ask staff for now.
lessons_create_request
Write down that something happened — shots given, feet done, the vet out. The next due date is worked out from the barn's interval unless you pass one; a vet who says "back in three weeks" outranks the interval. Record a vaccine's lot number when you have it: that's the number a recall notice quotes. `notes` is Markdown (up to 10,000 characters) and internal to staff unless `notes_shared` is true, which shows the notes to the horse's owner too; leave it false unless the user asked to share them. Staff only.
barn_add_health_record
Create a horse (sex: mare|gelding|stallion|unknown). `name` is what the barn calls it; `registered_name`, optional, is what's on its papers. `foaled_on` is the full foaling date (YYYY-MM-DD) when known, and sets the foal year; `weight_lb` is whole pounds; `uses` is any of boarder, competition, pleasure, for_sale, trail, in_training; `height` is hands and inches to the half inch, as said: "15.2", "15.2½", "15h 2.5in", or inches, "62.5in". Staff only.
barn_create_horse
Add a note (subject: horse|person; visibility: staff|owners|all, default staff). `body` is Markdown (bold, lists, links), up to 10,000 characters. Docs: https://help.1barn.com/assistants/
barn_add_note
Create a person. `works_here` puts them on the schedule and payroll (staff); `tags` are the relationships records can't tell: vendor and emergency_contact. A vendor's `vendor_types` are the barn's names or keys (barn_list_vendor_types), several allowed ("Bodywork", "Chiropractor"); giving any makes them a vendor. The old tags vet and farrier still work and mean those types. Boarder, rider and parent are worked out from horses, lessons and family, so aren't set here. `alternate_emails` are other valid addresses they write from (never used to sign in), `alternate_phones` other numbers. `address` and `billing_address` are {street1, street2, city, state, postal_code, country}; `billing_same_as_mailing` says the bills go to the mailing address. `kind` (boarder|staff|vendor_contact|other) is still taken from older callers. Returns their id, name, relationships and vendor types. Staff only.
barn_create_person
The same record for several horses in one save — the vet did spring shots for the whole barn, the farrier did eight. One record per horse, each horse's next due date from its own cycle unless you pass one. All or nothing: an unknown or archived horse saves none of them. `notes` is Markdown, internal to staff unless `notes_shared` is true (then each horse's owner sees them); leave it false unless the user asked to share them. Staff only.
barn_add_health_records
Add a space to the facility: "Turnout 6", "Stall 12", "Back Pasture". `kind` is a space kind's name or key (see barn_list_space_kinds — stall, turnout, paddock, pasture, barn…). `parent_space_id` puts it inside another space, a stall inside a barn; `capacity` is how many horses it holds, defaulting to the kind's usual number. Staff only.
barn_create_space
Add one approved sender (owner or manager only): a person in 1barn, an email address, or a whole domain (anyone there; broader). From then on, mail they send to the barn's records address is sent to Anthropic to be read by AI. Before calling, tell the person plainly that mail from this sender will be read by AI (Anthropic) and ask them to confirm; call only after they say yes.
records_add_sender
Add an event add-on: a name and price in cents (0 is fine), an optional Markdown description, an optional duration in minutes, how many one registration may take (1 = a checkbox), an optional total per event ("8 stalls"), and the categories and events that offer it. Charges nobody. Staff only.
events_create_addon
Add an event type. payment_terms: {mode: full|deposit, deposit_kind: percent|fixed, deposit_percent, deposit_cents, non_refundable, allow_pay_in_full (with a deposit, whether families may pay everything at checkout instead; default true), balance_due: first_session|days_before, balance_days_before, collection: auto_charge|link|at_barn|null for the barn's default}. reminder_mode: each_session (default) or first_session. Charges nobody. Staff only.
events_create_type
Give someone an interest in a horse (role: owner|lessee|billing| agent|trainer|contact), from a date. This is also what lets them see the horse at all, so a full-lease arrangement usually means a lessee row here. A contact is connected without owning it (a rider, family, someone who pays) and sees the horse only when `can_see` is true, or, left off, when the barn's default lets contacts see their horses. `percent` is for split ownership — leave it off when someone owns the whole horse. Use `barn_transfer_horse` for a sale; this adds a party without ending anyone else's. Staff only.
barn_add_party
Correct an entry without editing it: writes a reversing entry and a corrected one (new amount/memo/date; amount 0 removes it), both pointing at the original. Returns the original's id, the reversal and the corrected entry (null when removed). Owners and managers with the finance permission.
finance_adjust_entry
Add hours to an employee's time-off balance, or take them away (negative minutes), with a note saying why: an opening balance, a correction. policy is the policy's name or id. Writes one ledger row; nobody is notified. Managers only. Returns the new balance.
staffing_adjust_pto
One emailed record (staff): who sent it, whether it's verified, the attachment names, and the AI's suggestions, each with its kind (vaccination, vet_visit, farrier, coggins, invoice, other), horses, provider, the fields it read (dates YYYY-MM-DD, money in cents) and which ones it was unsure of (low_confidence). The email's text and files stay in the app. File one with records_file.
records_inbox_item
Answer a trade, or a shift offered up to the caller by name: answer is accept or decline. Accepting checks neither person ends up on two shifts at once, then waits for a manager or, under auto approval, trades the shifts. The managers or the offerer get a notice. Returns the offer.
staffing_answer_trade
Make a proposal real. A schedule proposal lays down one lesson and a weekly series per placement to the term's end and marks its requests scheduled; a horses proposal puts the horses on the lessons, skipping (with the reason) any horse injured or sick since. Once only — ask before applying, since it changes the calendar. Returns the proposal's id, status and what was `applied`. Staff only.
lessons_apply_proposal
Approve a held email's sender (owner or manager only) and have the email read: scope address adds their address, domain their whole domain (anyone there). This email and their mail from now on are sent to Anthropic to be read by AI, which can't be called back. Before calling, tell the person plainly that mail from this sender will be read by AI (Anthropic) and ask them to confirm; call only after they say yes.
records_approve_sender
Approve a time entry that is waiting, so it counts toward payroll. Managers only; refused once its pay period is closed. Returns the entry's id, status, whose it is and its paid minutes.
staffing_approve_entry
A manager approves or rejects a taken offered-up shift or an accepted trade (decision: approve or reject; a reason is optional). Approving moves the shift to the new person (both shifts, for a trade) and answers warnings when someone would go into overtime that week. Both employees get a notice. Returns the offer.
staffing_decide_offer
A manager approves or declines a pending time-off request (decision: approve or decline; a reason is optional when declining). For paid time off, approving takes the suggested paid minutes from the employee's balance, or paid_minutes when given (spread over the days asked for); it's refused when that would take the balance below zero and the policy doesn't allow it. Approving answers the person's shifts it covers, so they can be left, removed or offered up. The employee gets a notice. Returns the request.
staffing_decide_time_off
A manager approves or rejects a taken lesson cover (decision: approve or reject; a reason is optional). Approving puts the new instructor on that one lesson in place of the one who asked (co-instructors stay), records whom they're covering for, and moves the lesson time between their schedules. Both instructors get a notice. Returns the cover request.
staffing_decide_lesson_cover
Who may email the barn's records address (staff): people in 1barn (their main and alternate emails count), single addresses, and whole domains. Mail from anyone else is held and never read by AI.
records_senders
Ask another instructor to cover one of the caller's own upcoming lessons (one occurrence, even in a weekly series): any instructor who could teach it, or only to_person_id. Refused inside the barn's offer cutoff, for a lesson already up for a cover, or when the named instructor teaches another lesson then or has time off. The instructors who could take it get a phone notice. Returns the cover request.
staffing_offer_lesson_cover
Assign a pool shift (open, or offered up) — managers only. pieces is a list of {person_id, starts_at?, ends_at?} (ISO datetimes): one piece gives the whole shift, its times changed if given; two to four split it, the first piece being the shift and the rest new shifts of the same work. Anyone can be picked, answered or not. Whoever answered hears whether they got it, and the employee who offered it up that it's covered. Returns the shifts and warnings (overtime, availability).
staffing_assign_shift
When people say they can and can't work: weekly blocks (weekday, start_time and end_time, both null for all day, one null for "until" or "from"; kind available or unavailable; optional starts_on and ends_on; note), plus an instructor's lesson availability by term, which counts as available on those days (pending = rolled over and not yet confirmed, so it doesn't count). The caller's own; a manager may name anyone, or leave person_id out for every current employee. Coworkers can't see each other's. Each also carries preferences: the shifts a week and a month they'd like, am/pm/either on weekdays and on weekends, and comments; hints for scheduling, not rules.
staffing_availability
How this barn bills lessons: mode per_completed_lesson | per_scheduled_lesson | monthly | manual, the monthly amount, the default lesson price, and whether cancelling credits the family back (cancel_credit always | early_only | never, with cancel_credit_hours for early_only).
finance_billing_policy
List bookable events (people pick a time): id, name, price in cents, single (one booking per time) or group (runs with spots), duration in minutes, and whether bookings wait for approval. Staff see every one with its status and link; anyone else sees the published ones listed on the barn's booking page.
events_list_bookable
Bookings on bookable events between two dates (YYYY-MM-DD; the next 30 days by default): who, which event, when, and whether it's confirmed or waiting for approval (status: confirmed | pending | cancelled | all). Staff see every booking; anyone else sees only their own family's. No contact details; amounts only for the finance permission.
events_bookings
Post a public announcement every barn user can read (markdown), with an optional post title. Goes to the public board named by `board`, creating it if needed (creation is staff-only). Returns the post's id, conversation_id, title and created_at. Docs: https://help.1barn.com/assistants/
msg_broadcast
Take back a lesson cover request: the caller's own while nobody has taken it, or, for a manager, any that is still live. Whoever had taken it or been asked gets a notice. Returns the cover request.
staffing_cancel_lesson_cover
Cancel a registration (back-office; emails the registrant). No money moves: a refund is issued from the event's page in the web app. Returns the registration's id, status, cancelled_at, whether it was refunded, and its total. Staff only.
events_cancel_registration
Take back a shift offer or trade: the caller's own while nobody has taken it, or, for a manager, any that is still live. Whoever had claimed it or been asked gets a notice. Returns the offer.
staffing_cancel_offer
Cancel a time-off request: the caller's own while it's pending, or, for a manager, any pending or approved one (the employee gets a notice). Returns the request.
staffing_cancel_time_off
What actually happened to this horse lately, newest first, with who did it (by name). An owner sees their own horse's, minus anything kept back.
barn_care_log
Change a request, or say where it got to: `series_id` marks it scheduled (the weekly series it became, from lessons repeat), `decline_reason` declines it, `status` moves it by hand (a waitlisted entry to open, say), `verification: "confirmed"` marks a rolled-over request as checked (editing its ask does too). Only fields given change. Returns the request. Staff only.
lessons_update_request
Reschedule or change a lesson: any field given is replaced, participants wholesale; `notes` are Markdown. Editing one occurrence of a weekly series detaches it from the series. instructor_change "cover" with instructor_ids that replace one instructor with another records that the new one is covering this lesson ("Sam covering for Jane"); "change" (the default) is a new instructor for good. On a cancelled lesson: cancel_reason (family, no_show, barn) corrects why; instructor_paid (managers) says whether its instructors are paid for it; charge_kept (owner) says whether the families' charges stand — true posts them, false credits them back, once either way. Returns the lesson with `conflicts`, `warnings` and `pay_notes` (instructor time left as it was, and why). Staff only.
lessons_update
Rename, re-date, or move a term through planning → published → closed. Only fields given change. Returns the term. Staff only.
lessons_update_term
Change an event add-on. Only what's given changes; category_ids or event_ids, when given, replace that whole side of its mapping. clear_duration / clear_event_limit remove those. archived=true stops new bookings choosing it and keeps past registrations' picks. A new price applies to new bookings only. Staff only.
events_update_addon
Change an event type; its events follow (a price only where an event doesn't set its own). New terms apply to new bookings; people already booked keep theirs. Charges nobody. Staff only.
events_update_type
Record a change to someone's employment from a day on: kind is hired, leave, returned, ended or rehired; effective_on is an ISO date (today when left out; a later day schedules it). Ending someone takes them off the schedule's pickers and closes the time clock to them from that day; their past shifts, time and payroll stay. Leave keeps them listed, and new shifts for them warn. Nobody is notified. Managers only. Returns the record and warnings about shifts still on the schedule from that day.
staffing_set_employment_status
Change the caller's own notice choices. changes maps a kind (schedule, shift_reminders, requests, lessons, lesson_reminders, messages) to {app?: bool, email?: bool}, plus shift_lead_minutes (60, 120, 720 or 1440) and lesson_timing (evening or hours). Only the caller's own.
core_set_notification_settings
Check a registrant in at one session (present=false undoes it). Staff only; it sends nothing to anyone.
events_check_in
Take a coworker's open offered-up shift. Refused when the caller can't work that kind of shift, is already on a shift then, or has approved time off then. A shift offered up to anyone stays in the pool for others to answer too, with the caller's optional comment, until a manager picks (who gets a notice); under the barn's auto approval it's the caller's at once. Returns the offer.
staffing_claim_shift
Mark rolled-over availability as checked: one instructor's blocks for a term (person_id + term_id), or specific blocks (block_ids). Re-entering a week with lessons_set_availability also confirms it. A request is confirmed by editing it, or with lessons_update_request(verification="confirmed"). Returns the blocks, as lessons_availability shows them. Staff only.
lessons_confirm_availability
Say the card is still right, without changing anything. Use this when an owner has read it back and confirmed it.
